Complete the Initial Setup Wizard

The VoIP Configuration Wizard guides you through setting up your entire phone system in 8 comprehensive steps.

This wizard is accessed immediately after registration or from the VoIP Management section of your customer portal.

Step 1: Number Porting

  • • Choose whether to port existing numbers from your current provider
  • • Enter each number to port along with current provider details
  • • Mark your main billing number (the number on your current bill)
  • • Note: Porting typically takes 5-10 business days and requires a Customer Letter of Authority (CLoA)

Step 2: New Numbers

  • • Select UK regions for your new phone numbers (England, Wales, Scotland, Northern Ireland)
  • • Choose area codes for each region (e.g., 0118 for Reading, 0207 for London)
  • • Specify quantity needed per area code
  • • Numbers are allocated from your purchased allocation

Step 3: General Setup

  • • Choose extension format: 3-digit (100-999), 4-digit (1000-9999), or 5-digit (10000-99999)
  • • Define extension range start and end numbers
  • • Enable voicemail transcription and email delivery
  • • Configure business hours for each day of the week
  • • Set call routing for during-hours and after-hours scenarios

Step 4: User Extensions

  • • Add user details: first name, last name, email address
  • • Assign extension numbers (auto-incremented based on your range)
  • • Grant reporting access to specific users if needed
  • • Extensions can be added, edited, or removed later from VoIP Management

Step 5: Call Routing

  • • Configure where each phone number routes incoming calls
  • • Set up IVR menus for professional call handling
  • • Create call queues for departments
  • • Configure ring groups for simultaneous or sequential ringing

Step 6: Phone Hardware

  • • Register phones purchased from BusinessVoIP or bring your own
  • • Assign each phone to a user extension
  • • For purchased phones: provide shipping addresses
  • • For customer-owned phones: enter manufacturer, model, serial number, and confirm release from previous provider

Step 7: Holidays & Phonebook

  • • Add business holidays with special call routing (Christmas, Easter, bank holidays, etc.)
  • • Set holiday actions: voicemail, announcement, or forward to external number
  • • Mark holidays as recurring yearly
  • • Create company phonebook contacts available to all users on their phones

Step 8: Final Configuration

  • • Enable Microsoft 365 integration if you use Entra ID (formerly Azure AD)
  • • Sign Customer Letter of Authority (CLoA) for number porting
  • • Review configuration summary
  • • Submit to begin provisioning (our team starts setup immediately)
